This statement explains what information Operandi Solutions collects, how it is used, and the choices you have. It is provided for operational transparency across our operations consulting and Mobile Notary Division.

01Collection

Information We Collect

Information You Provide

We collect the personal details you choose to share when contacting us or scheduling an engagement through our website, email, or telephone. This typically includes your name, company name, email address, phone number, and specific operational or document details needed to provide the service, such as appointment dates, physical locations, document types, and the number of signers.

If you submit your email address to request a free resource, such as our operations working diagnostic, we use it only to deliver that resource. If you separately check the optional box to receive occasional Operandi insights and resources, we will also use your email for that purpose; this is never required to receive the resource you requested. You may stop receiving any future emails at any time by contacting us directly.

Technical Access Data

Our website hosting provider may automatically process basic technical information when you visit the site, such as your IP address, browser type, referring URL, and the time of your visit. This information is used to deliver, secure, and maintain the website—not for cross-context behavioral advertising.

Optional Website Analytics

With your permission, we use Google Analytics 4 to understand website visits, traffic sources, and activity such as clicks on booking, telephone, email, and resource-download links. Google Analytics uses cookies and processes technical information about your browser and device. We do not load Google Analytics or send it analytics data unless you choose to allow analytics.

We keep advertising features off. We do not send form contents, names, email addresses, phone numbers, or notary document information as analytics event data. Page addresses are limited to our public page paths, without query strings or fragments, and referring addresses are limited to the originating website. Clicking a booking or contact link is not treated as proof of a completed appointment.

You may decline analytics without affecting access to our services and may change or withdraw your permission using “Privacy choices” on any page. Your choice is stored in this browser for up to 180 days. We also keep analytics off when the browser sends a Global Privacy Control or Do Not Track signal. Withdrawing permission stops future analytics collection and clears this site's Google Analytics cookies; it does not automatically delete information already collected.

02Notary records

Statutory Notary Public Journals

California law requires a notary public to maintain one active sequential journal of official notarial acts. Journal entries include the information required by law, which may include signatures, identifying-document details, credible-witness information, and—for specified real-property and power-of-attorney documents—a thumbprint. The journal is kept in a locked and secured area under the notary public’s direct and exclusive control and is maintained separately from general digital business contact and scheduling records.

03Verification

Identity Verification Safety

California notarial acts require satisfactory evidence of identity. Depending on the circumstances and applicable law, this may involve an acceptable identification document or qualifying credible witnesses. When an identification document is presented, it is visually inspected during the signing appointment. Operandi Solutions does not scan, photograph, upload, or digitally store copies of personal identification documents on our website servers or digital infrastructure.

04Processing

Data Sharing and Third-Party Processors

We do not sell your personal information or share it for cross-context behavioral advertising. Information is shared only as needed to fulfill your direct service request—for example, when coordinating with a title company, escrow provider, or signing agency involved in your appointment—with service providers that support scheduling and communications, or when required by a valid subpoena, court order, or lawful government request.

Our online booking scheduler is provided by Google. Information you submit through the calendar interface is processed using Google’s infrastructure and is also subject to Google’s privacy practices.

05Safeguards

Data Security and Retention

We use encrypted HTTPS connections for information transmitted through our website. General business contact and calendar booking records are kept only as long as reasonably necessary for the purposes for which they were collected and to meet applicable legal, tax, and recordkeeping obligations.

Physical notary journals are secured, retained, and ultimately delivered or otherwise handled as required by California law. Because those records are legally required, they are not subject to ordinary customer deletion requests.

You may ask us to review, update, correct, or delete voluntary general digital contact information we hold about you, subject to information and official records we are legally required to retain.
